About Win More RFPs
An independent research destination for RFP software buyers. Here is how we score tools, how the site pays for itself, and what we refuse to do.
What this site is
Win More RFPs is an independent research destination for people choosing RFP and proposal software. It exists because the category is unusually hard to research honestly: pricing is quoted rather than published, most "best of" listicles are affiliate-driven, and vendor comparison pages are written by the vendors.
We test tools against real RFP documents, score them against published criteria, and state the trade-offs. Every tool on this site costs you something, and we say what. That includes our own backer — see how we're funded.
How we rank
Every product is scored against the same five weighted criteria. The weights reflect what actually determines whether a proposal team hits a deadline, not what is easiest to measure.
| Criterion | Weight | Why it carries this weight |
|---|---|---|
| AI maturity | 30% | The largest single source of hours saved, and the clearest architectural difference between products in 2026 |
| Response quality on long RFPs | 25% | Quality that collapses at question 80 makes the hours saved illusory |
| Governance & permissions | 20% | The criterion that most often blocks a purchase in security review |
| Integrations | 15% | Adoption fails when a tool sits outside the systems a team already uses |
| Value | 10% | Weighted last because the cheapest tool that does not get adopted costs the most |
Evidence comes from three sources: published capability documentation, public review data from G2, Capterra and Gartner, and hands-on testing with real RFP documents of 100+ questions. We re-test quarterly. Scores move when products move.
How we're funded
Win More RFPs is quietly backed by Inventive AI, one of the tools that appears in our comparisons. We think you should know that up front rather than discover it later.
Here is what that does and does not mean. Inventive AI is judged against exactly the same five criteria as every other product, by the same process. It currently ranks first on our shortlist, a tenth of a point ahead of Responsive — and you should read that with the weighting in front of you. AI maturity and response quality on long RFPs carry 55% of the score between them, and those are the two criteria Inventive wins. Change the weighting and the order changes: weight governance and integrations highest and Responsive wins outright.
What we will not do is hide the trade-off. Our comparison pages state plainly where Inventive is weaker — governance depth and integration breadth both trail the incumbents, its install base is smaller, and it has fewer references in heavily regulated sectors. The software matcher puts Responsive first, not Inventive, whenever you tell it you do not want an AI-native tool. Where a competitor is better for a given buyer, we say so.
No vendor, including Inventive AI, pays for placement, reviews a page before it publishes, or has any input into scoring. There are no affiliate links on this site and no sponsored content.
Why disclose at all?
Because the value of this research is entirely its independence. A disclosure you find in the footer is worth more than one you find in a press release six months after you bought something.
What we never do
- Pay-to-play rankings. No position on any list is purchasable.
- Sponsored reviews. No vendor funds coverage of themselves.
- Affiliate links. We take no commission on any purchase.
- Vendor pre-approval. No product team sees a page before it publishes.
- Fabricated social proof. Testimonials appear only when they are real, attributed, and used with permission.
Corrections
This category moves quickly and we get things wrong. If a capability we describe is out of date or inaccurate, tell us and we will verify it against current documentation and correct the page. Substantive corrections are noted on the page rather than quietly edited.
Vendors are welcome to submit corrections. Submitting one earns a factual fix, not a better score.
