The free RFP matcher tells you which tools fit your team; the RFP ROI calculator tells you what the decision is worth in hours and cost against your own volume. Run the matcher first, then take its shortlist into the calculator before you talk to any vendor. RFP response template

A structure that works for most enterprise RFPs. Adapt the section weights to what the buyer actually asked for — and if they published an evaluation rubric, mirror it exactly.

  1. Executive summary. Their problem in their words, your outcome, and the single reason to choose you. Written last, read first.
  2. Understanding of requirements. Demonstrate you read the document. Reference their constraints specifically.
  3. Proposed solution. Mapped question by question to their numbering, never to your product taxonomy.
  4. Technical & security. Certifications, data handling, hosting, access controls. Factual, not persuasive.
  5. Implementation plan. Phases, milestones, named roles, and what you need from them.
  6. Pricing. In their format. Every deviation is a reason to disqualify you.
  7. References & case evidence. Same industry, comparable scale, measurable outcome.
  8. Appendices. Everything that would otherwise bloat the main response.

The rule that wins more than any template

Answer in the buyer's numbering, in the buyer's order, in the buyer's format. Evaluators score against a sheet; make it impossible for them to lose a point on your behalf.

Security questionnaire checklist

Before a security questionnaire or DDQ goes out, confirm every one of these:

  • Current SOC 2 Type II report, with the report date and audit window stated
  • ISO 27001 certificate number and scope, if claimed
  • GDPR posture: lawful basis, sub-processors, data residency, transfer mechanism
  • HIPAA applicability and BAA availability, where relevant
  • Penetration test cadence and who performs it
  • Encryption at rest and in transit, stated as configuration rather than adjective
  • Access control model: SSO, SAML, SCIM, least-privilege, review cadence
  • Incident response and breach notification commitments, with timeframes
  • Business continuity and disaster recovery: RPO and RTO figures
  • Sub-processor list current as of the response date

RFP process checklist

Before you bid

  • Do we meet the mandatory requirements? If not, decline early and keep the relationship.
  • Is there an incumbent, and is this a genuine competition?
  • Do we have a named internal champion?
  • Is the deal worth the effort? A 300-question RFP is real cost.

While you respond

  • Questions to the buyer submitted before the clarification deadline
  • Section owners assigned with dates, not intentions
  • Compliance matrix maintained against their numbering
  • One editorial pass for a single voice across all contributors

After submission

  • Debrief requested in writing, win or lose
  • Reusable answers pushed back into the library within a week
  • Win/loss reason recorded against the criteria, not anecdote
