Why are RFP contracts important for higher education institutions?

Working in procurement at a university and someone asked me to explain why we even bother with formal RFPs. Why are RFP contracts important for higher ed specifically?

For higher ed, RFPs matter mostly because of accountability and compliance. Universities often spend public or grant money, so a formal RFP process demonstrates fair, open competition and protects against favoritism, which is frequently a legal or policy requirement. It also drives better value (competing vendors sharpen pricing and approach), creates an auditable paper trail for grant and state reporting, and sets clear expectations and deliverables in the resulting contract. For large or federally funded purchases, following a documented RFP process is often mandatory to stay eligible for that funding.

mostly accountability tbh. ur spending public or grant money so u have to show open fair competition or u risk audit issues
